Fiscal Assistant

Reports to: Operations Director 
Location: Nevada/Remote 

Position Summary: 
This position is responsible for support and execution of tasks related to bookkeeping, including payables, receivables, bank reconciliations and other related tasks.

Essential Position Duties and Responsibilities: 

  • Prepare, verify and record monthly grant reimbursement Request for Reimbursement (RFR) requests.  
  • Review employee expense reports and credit card billing for coding accuracy and appropriate back-up.  
  • Process bi-weekly payroll via Quickbooks online.  
  • Prepare, verify and record deposit revenues.  
  • Prepare, code and submit vendor invoices for payments.  
  • Provide information to vendors regarding invoices and payment status. 
  • Work closely with contracted accounting firm on accounts payable and other tasks.  
  • Sort and distribute mail. 
  • Maintain a working knowledge of significant developments and trends in the fields of immunizations and public health. 
  • Complies with all HIPAA, and other regulations and requirements. 

Supervisory Responsibilities: 
None

Minimal Qualifications: 

  • An Associate degree or higher in accounting, business, or related field, or two years of experience in a similar role, or a combination of education and experience. 
  • Up-to-date vaccinations required. 

Knowledge and Skills:  

  • General fiscal practices.  
  • Experience with Quickbooks or similar financial software preferred. 
  • Ability to handle confidential information with discretion. 
  • Attention to detail, with an ability to spot numerical errors. 
  • Skills in Word, Excel, PowerPoint. 
  • Prepare timesheets, expense reports, check requests, as required. 
  • Certified as a Nevada Web IZ user.  

Work environment:    
Generally works in an office environment but may occasionally be required to perform job duties outside of the typical office setting, evening and weekend hours sometimes required. This position may also be remote/work from home.  

License required:
Must have valid driver’s license. 

Physical Demands: 
Occasional physical effort required to lift boxes of supplies or equipment weighing approximately up to 25 pounds; stooping, bending and reaching when stacking boxes and supplies. Demands vision, manual dexterity, sitting long periods of times, writing, typing, grasping, driving and speaking. 

Position information: 

  • Work up to twenty hours per week.  
  • Benefits include PTO, Simple IRA plan, mileage reimbursement, and more 
  • Pay range: $25/hour
